No more retyping the same info over and over — Smartdocs can now be automatically pre-filled with your contact and company data from the Hubflo Directory 🙌

Here’s how it works:

• Create or edit a Smartdoc

• Map the fields to your Hubflo contact/company properties (native or custom)

• When sending the doc, if those fields are already filled in Hubflo, they’ll show up pre-filled for your client — and they can still edit them if needed.

We’re excited to introduce Conditional Logic and Form Sections — two powerful tools to make your forms more relevant and user-friendly 🎯

Conditional Logic

• Show or hide questions based on previous answers.
• You decide which questions appear depending on what the client selected earlier.

For example:

• If someone picks “Business” → show company-related questions

• If they pick “Personal” → skip them

How it works:

• Use Dropdowns, Radio buttons or Checkboxes as trigger questions

• Set up conditions using values from the user’s answers

• Each question can have up to 3 conditions (works like “OR” logic)

Form Sections

• Break long forms into clean, organized sections.

• Add a section title and description, group related questions together, and reorder everything easily with drag & drop.

Perfect for improving flow and keeping your clients focused.

These two features work great together to create a smoother, more personalized form experience.

You can now choose how files and folders are displayed in your client portal.

Head over to Settings > Appearance to choose from 5 options:

✋ Manual (drag and drop)

🔤 Alphabetical (A → Z)

🔤 Alphabetical (Z → A)

🕒 Creation Date (Oldest First)

🕓 Creation Date (Newest First)

Your selection will apply to all workspaces — and your clients will see the same display when logged into the Portal.

You can now choose to show or hide Tasks, Forms, and Billing from your main menu.

If there are modules you don’t use, just hide them to keep things simple and focused.

⚙️ How to customize?

• Go to Settings > Organization & Branding > Customize main menu.
• If toggled OFF, the items will still be accessible under “More,” with Tasks pinned to the top.

🔎 Main Menu Rework – Workspaces Front & Center

We’ve moved Workspaces to the root level of the main menu so it’s easier to reach.

You’ll still find Clients and the Resource Center just below in the submenu.

You can now send form completion requests for forms tied to specific workspaces.

⚙️ How it works:

• From the Forms tab in the workspace inbox view, click “Request a completion”

• Choose the form you want to send

• Select a client who has access to this workspace

🔎 New filters added

To help you navigate forms more easily, you can now filter by:

• All forms: Shows every form assigned to clients who are active in the workspace.

• This workspace only: Shows only the form requests that are specifically linked to this workspace.

👀 What your client sees

• Forms linked to a workspace appear in the Action required section inside that workspace.

• Any other forms sent to your client still appear in their portal under the Forms tab.

This keeps things clear and prevents confusion across workspaces ✨

You and you clients now have 10 minutes to edit any message or comment after sending it — this works in both the messaging area and task comments.

Here’s how it works:

• You can only edit your own messages or comments

• An “edited” badge will appear next to the message once it’s updated.

• One less thing to worry about — you’ve got time to tweak if needed! 😉

To edit, just click the pencil icon 👇

You can now create Smartdocs that involve several parties — perfect for contracts or projects that require input from different people.

Here’s what’s new:

• Add and rename multiple parties in your Smartdoc templates.

• Assign specific fields to each party (signatures, text fields, dates, etc.) or link them with Hubflo attributes

• When sending, select a different contact for each party.

• Track progress with a new completion indicator (e.g. 2/4 completed).

• Copy the link of a pending Smartdoc to resend it easily via chat or email.

👉Once all parties have completed their parts, the final document will be available for everyone to download from the Client Portal.

Your clients now have two faster, more secure ways to access the portal:

🔑 Google sign in (enabled by default)

• Works with self sign-up — new clients can create an account directly with Google

• Existing password-based accounts are unified if the user signs in with Google

• Clients can still log in with their password if they prefer

📩 Magic Link Login (disabled by default)

• Clients log in with a secure link sent to their inbox — no password needed

• Great for clients without Google accounts or who prefer passwordless login

⚙️ Settings

• Google sign in is active by default — you can turn it off in Client Portal Settings

• Magic Links are off by default — you can enable them anytime in Client Portal Settings

• Fewer login issues, stronger security, smoother client experience 🚀

At the moment, this feature is only available for your clients in the portal. We plan to integrate Google sign in for internal users in the future.

You can now execute bulk actions on folders in workspaces:
