    We’ve added a quick selection to get you started! To access more, you and your clients can use the keyboard shortcut to open the full emoji menu:

  2. 🚀 New: Send mass messages with Announcement Chatrooms!

    New Feature

    You can now send the same message to multiple clients at once using Announcement Chatrooms – perfect for sharing updates, announcements, or important info.

     

    • Add all your active clients at once
    • Clients can’t reply or see who else got the message
    • They receive it by email and in their client portal
    • Announcement chatrooms are marked with a badge

    👥 Who can create/access Announcements?

    Admins and regular members can create Announcement Chatrooms

    Internal users can access chatrooms based on their permissions:

    → If the "Access to all chat rooms" setting is enabled, they'll automatically see all regular and announcement chatrooms

     

    → If not, they'll need to be added manually to each chatroom they should access

     

    👀 Where & how do clients see Announcements?

    Clients will receive the message via email and can view the message directly in their client portal. The reply box is disabled and replaced with a short message explaining that it’s a read-only thread:

    💡 Our recommandation:

    Create one default “General Announcements” chatroom with all your clients to keep them informed.

     

    Optionally, create additional announcement rooms by client group, project type, or service to send more targeted updates.

     

    Filters to help you manage your inbox:

    We’ve added some smart filters so you can quickly focus on what matters:

     

    • Type: filter by Regular or Announcement chatrooms
    • Action Required: show chatrooms marked with the ⚠️ “Action Required” icon
    • Unread Messages: see all chatrooms with unread messages
  3. 📂 New: Move your files easily!

    New Feature

    You can now move files anytime — from one folder to another, or even across workspaces.

    Perfect to reorganize and keep everything tidy!

  4. 🚀 New! Add file shortcuts to your workspaces from chatrooms or forms, and flag conversations as “Action Required”.

    New Feature

    📑 Add shortcuts for received files into your workspace:

    You can now add a shortcut to any file received in a chatroom or in a form directly into your workspace — whether it’s the root, a folder, or a subfolder.

     

    Just click the Add Shortcut icon next to the file, pick a destination, and we’ll take you there!

     

    ☝️ The original file won’t be moved or deleted — it will still be visible in the chatroom or form so you can always refer back to it.

    🔔 Flag conversations as action required:

    Need to follow up — reply to a client, update the workspace, send an invoice? Just hit the Action Required button to flag the conversation for your team.

     

    The flag is shared across the team, so everyone’s on the same page:

    Coming soon:

    • Filter by action required: see only conversations that need follow-up
    • Copy from folders: copy files received directly in a folde
    • Copy from tasks: copy task attachments into any workspace, folder, or subfolder
    • Bulk copy: select and copy multiple files at once
    • Smarter search: find the right destination faster and more easily

     

  5. 🚀 File Preview is here!

    New Feature

    You can now view files directly in Hubflo—no download needed. Just click to open, and browse files in the same folder using our new gallery mode. Simple, fast, seamless.

    File preview works with PDFs, images, videos & audio files.

  6. 🚀 New: Archive your workspaces!

    New Feature

    Tidy up your space without losing anything — you can now archive workspaces instead of deleting them. Perfect for wrapping up finished projects!

    📦 How to archive a workspace:

    • Click archive icon in the workspace header
    • Or use the 3-dot menu > “Archive” (chatroom will be archived too)

     

    🔎 Where to find them:

    • Archived workspaces can be found in a dedicated “Archived” tab — and yes, you can unarchive them anytime! Linked chatrooms will be restored automatically.​

     

    👀 What your clients see:

    • Clients still have access to archived workspaces. If they have more than one, their sidebar shows an “Archived” section.

     

    If all workspaces are archived, they’ll land on the Client Portal home.

  7. 🚀 New: Hubflo Fields in Forms

    New Feature

    You can now link form questions directly to Contact and Company fields from your CRM – including both native and custom fields (text & date).

     

    Here’s what you can do:

    • Pre-fill forms with existing CRM data when your clients are logged into the portal

    • Let clients review and update their info directly in the form

    • Have their data automatically updated in your CRM after they submit the form 🎯

    Even on public forms, if the client’s email matches an existing contact, their info will be updated!

    🛠️ Works with native fields like Name or Phone, and custom fields (text & date only).

  10. New : Better Control Over Chatroom Access & Notifications!

    We’ve added two new features to help you manage internal access to chatrooms and conversations more efficiently:

     

    1️⃣ Add an internal user to all chatrooms

     

    When inviting an internal user or clicking on their name, you can now enable a toggle to add them to all chatrooms in your organization. Perfect for staying in the loop and never missing a message!

    2️⃣ Adjust your notifications

     

    You can now customize your notification settings under Settings > My Profile to choose:

     

    • All notifications for unread messages

    • Only notifications from your assigned contacts

    • No notifications at all
