  1. 🚀 New: Archive your workspaces!

    New Feature

    Tidy up your space without losing anything — you can now archive workspaces instead of deleting them. Perfect for wrapping up finished projects!

    📦 How to archive a workspace:

    • Click archive icon in the workspace header
    • Or use the 3-dot menu > “Archive” (chatroom will be archived too)

     

    🔎 Where to find them:

    • Archived workspaces can be found in a dedicated “Archived” tab — and yes, you can unarchive them anytime! Linked chatrooms will be restored automatically.​

     

    👀 What your clients see:

    • Clients still have access to archived workspaces. If they have more than one, their sidebar shows an “Archived” section.

     

    If all workspaces are archived, they’ll land on the Client Portal home.

  2. 🚀 New: Hubflo Fields in Forms

    New Feature

    You can now link form questions directly to Contact and Company fields from your CRM – including both native and custom fields (text & date).

     

    Here’s what you can do:

    • Pre-fill forms with existing CRM data when your clients are logged into the portal

    • Let clients review and update their info directly in the form

    • Have their data automatically updated in your CRM after they submit the form 🎯

    Even on public forms, if the client’s email matches an existing contact, their info will be updated!

    🛠️ Works with native fields like Name or Phone, and custom fields (text & date only).

  5. New : Better Control Over Chatroom Access & Notifications!

    We’ve added two new features to help you manage internal access to chatrooms and conversations more efficiently:

     

    1️⃣ Add an internal user to all chatrooms

     

    When inviting an internal user or clicking on their name, you can now enable a toggle to add them to all chatrooms in your organization. Perfect for staying in the loop and never missing a message!

    2️⃣ Adjust your notifications

     

    You can now customize your notification settings under Settings > My Profile to choose:

     

    • All notifications for unread messages

    • Only notifications from your assigned contacts

    • No notifications at all

  6. 🚀 New Feature: Always-On Forms! 🎉

    New Feature

    Need a form that’s always available? Now you can!

     

    With Always-On Forms, you can:

     

    ✅ Share your form link with anyone—inside or outside your portal.

    ✅ Pin forms to your portal so they’re always visible (great for “New Ticket” or “Request” forms!).

    ✅ Automatically capture new contacts—if they’re not in your Hubflo CRM, they’ll be added.

     

    🔒 No login? No problem! If someone isn’t logged in, they’ll simply enter their email before filling out the form.

     

    A faster, more flexible way to collect responses—no extra steps needed. Check out this FAQ to learn more about Always-On Forms. 

  7. [NEW] Block "Action required" (Client Portal)

    A new block is automatically displayed to your clients when they log in to the portal, showing all pending actions—including pending forms, SmartDocs, invoices, assigned tasks, and unread messages :

    Forms - Auto reminders for clients

    There’s nothing worse than having to chase down your clients for something, so we’ve just introduced auto-reminders for forms.

     

    Similar to SmartDocs, clients will receive up to three reminders when you assign them a form.

  9. New Setting: Display Completed SmartDocs to All Contacts from the Same Company

    Improvement

    What’s New?

    We’ve introduced a new setting: “Display SmartDocs to all contacts from the same company on the client workspaces.”

    • By default, this setting is OFF.

    When enabled by the organization owner, all contacts from the same company can view completed SmartDocs in their shared workspace.

     

    To enable this setting, go to Settings > General Settings/Domain

     

    Example:

    Let’s say a completed SmartDoc is assigned to Jane, a client from Company ABC.

    With this setting enabled, Jane and other contacts from Company ABC will also be able to view the document in their shared workspace.
